Privacy Policy

This policy explains what MailClubs, operated by Naveen Dhanapal (sole proprietorship, India), collects on mailclubs.com, how it is used, who it is shared with and the choices you have.
1. What we collect
- Account data. Your email, display name and sign-in identifiers. If you claim a directory listing, the club details you provide.
- Order and shipping data. When you buy from the MailClubs mail club: your name, postal address, the items ordered, order history and subscription status. We need your address to ship your mail.
- Payments. Payments are handled by our payment processor, named at checkout. We receive a payment confirmation, refund status, an order ID and your checkout email. We never store card numbers.
- Community content. Posts, replies and any images you share in the member community, with your display name.
- Usage data. Pages viewed, searches and saved clubs, plus technical data such as approximate country, browser type and timestamps.
- Submissions. Club suggestions, listing claims, corrections, reviews and any text or images you upload.
2. How we use it
To run and improve the directory, make and ship your orders, bill subscriptions, run the community, moderate content and submissions, send order and account emails, answer support requests and analyse usage in aggregate. We send marketing email only if you opt in, and every such email has an unsubscribe link.
3. Sharing
We do not sell personal information. We share data only:
- With service providers under contract that host the site, store data, process payments and send email.
- With postal and courier services, who receive your name and address to deliver your mail.
- With other members, for what you post in the community, and with other users for content you make public such as reviews.
- When the law requires it, or to protect rights and safety.
4. Cookies
We use cookies for sign-in, the shopping cart, essential functions and limited analytics. Blocking essential cookies may stop sign-in or checkout from working.
5. Retention
Account and listing data is kept while your account is active or the listing is published. Order and shipping records are kept for as long as needed to fulfil orders, handle returns and meet tax and accounting rules. Community posts stay until you delete them or your membership ends, unless the law requires otherwise.
6. Security
We rely on our infrastructure providers' safeguards and limit internal access to personal data. No system is completely secure, and we cannot guarantee absolute security.
7. Your rights
You can access, correct or delete your account data in your account settings or by emailing postmaster@mailclubs.com. We may need to keep order records the law requires. Users in India may have further rights under the Digital Personal Data Protection Act, 2023, which can be exercised through the grievance officer named on the Contact & support page.
8. Children
The site is not directed at anyone under 18 and we do not knowingly collect data from them.
9. International transfers
We ship worldwide, so your address is shared with postal services in your country. Our service providers may process data outside India.
10. Changes
We may update this policy. Material changes will be announced in advance to active subscribers and members.
